Policy Statement
Storey understands that privacy is important to all its stakeholders and is pleased to provide information about its privacy policy. We are committed to protecting your privacy, keeping your personal information safe, maintaining the security of your data and complying with the Australian Privacy Principles contained in the Privacy Act 1988 (Cth)(Privacy Act).
Storey’s compliance with the Privacy Act means we:
· Only collect the personal information we need;
· Do not keep information that we no longer need;
· Ensure your information is correct and up to date;
· Seek your consent to share information; and
· Store your personal information securely.
What information do we collect?
We collect different types of personal information from you. It’s information we need for the purpose of carrying out our business for example, assessing your rental application, supporting your ongoing tenancy, to manage a complaint, or to communicate with you about things you’re interested in.
The main types of information we collect from you include but are not limited to:
· identity information – to make sure you are who you say you are, we’ll collect information like your name, date of birth, contact details and proof of identity documents;
· financial and rental history information – if you’re applying to live with us, we’ll also collect your employment, financial, credit and residential history, like your employment and income details, payment and credit history, rental references and, if your application is successful, your payment details (to enable us to be paid rent);
· CCTV and written reports – this is information collected within the buildings we operate in, like CCTV or written reports. This information helps Storey, and the Owner of the properties to protect its staff, other renters and visitors and is important for preventing fraud, crime and misconduct.
In some circumstances we will need to obtain Sensitive Information about you. Such information will only be collected where is reasonable to do so, and likely in connection with your application for housing with Storey. This may include:
· Racial and ethnic origin
· Health information about your disability, where required to assess accessibility requirements
· Information about your housing need, to assess housing prioritisation
Storey gathers personal information when voluntarily submitted by you through phone calls, applications, forms, and via the website. For example, personal information maybe collected from you to get your feedback on our websites and our services. In other instances, personal information may be collected from you to respond toyour enquiries or assess your housing need.
You do have the right to seek to deal with us anonymously or using a pseudonym, but in almost every circumstance it will not be practicable for us to deal with you or provide any services to you except for the most general responses to general enquiries.
Indirect collection
We may collect your personal information from others (such as referring service providers or another household member) so we can assess an application for housing or deliver services to you. We will only collect your information this way when it is something you would reasonably expect – for example, when you have asked for a referral to our services or housing, or where consent has been given to share your information.
How do we use your personal information?
We use your personal information in a variety of ways. Some examples include:
· to provideproducts and services to you – we may use your personal information toprovide products and services to you and conduct our business. For example, toprovide ongoing tenancy related services to sustain your tenancy;
· administration –this includes many of the ordinary activities necessary to run our business. We may use your personal information to help us manage the services we provide to you, deal with enquiries and complaints and to maintain and update our records.For example, if you contact us with a question about your residential rental agreement, we’ll need to verify your identity first to protect against fraud and will use your personal information to do that. Further, we will also use your information for charging and billing and to identify breaches of your residential rental agreement;
· identifying fraud, crime and misconduct – we may use your personal information to identify and help prevent identity theft, unauthorised access or other fraudulent activities at our sites. Personal information captured within our premises, including via CCTV, may also be used to manage fraud, crime, and misconduct;
· communicating with you – businesses need to be able to communicate with their customers, and we’re no different. We may use phone, email, SMS, chat functions and social media to communicate with you. We may also provide you with personalised experiences within search engines and web pages you visit;
· improve our experience offering – we are continually working to maintain and improve our resident experience and to develop new ones, and we may use your personal information to help us do this. For example, other information we collect extends to information about how you use the spaces you have access to.Information like if you access the gym or amenities spaces. This isn’t to monitor your movements, but to gather behavioural data that help us make sure our buildings include the amenities that people use the most and re-purpose areas that could be used to create a better experience. This information is generally aggregated or de-identified when we analyse it, which means the information isn’t personal information. We may share these insights with trusted partners;
· direct marketing – we want to make sure you hear about products, services ors pecial offers from us that you might find useful or interesting. We may use the personal information we collect and hold about you to market and promote products, services and special offers directly to you. Additionally, we may also contact you with information about products, services and offers our very cool partners provide. You will always have the chance to opt out of non-rental-related communications; and
· assessment of your residential rental agreement – if you are interested in renting with us, your personal information will be collected and used to enable us to consider and assess your eligibility for a residential rental agreement with us.Where enquiries are made, personal information may be shared by Storey with third parties who are providing marketing, communications, or other services for Storey or otherwise assisting in the management of such enquiries.
And, rest assured, we will never sell your personal information to third parties.
How do we store your information?
Storey takes all reasonable steps to ensure the security of your personal information. Access is restricted to those involved in administration or fulfilment of the competition entered or of any request for which you have provided your personal information.
We may store your information in different ways, such as hard copy files, computer systems, or mobile devices. It may also be stored in cloud-based or other electronic storage systems. We take reasonable steps to protect your personal information from misuse, interference, loss, and unauthorised access.
We securely destroy or delete personal information when it is no longer needed.
Sharing of personal information
We may give access to your personal information to other external parties. Examples include:
· Local:Residential Pty Ltd, and related entities of Local, being a service provider toStorey;
· GovernmentDepartments;
· Contractors;
· Thirdparties providing services to Storey;
· Statutory orRegulatory bodies;
· to the Ownerof the properties;
· to supportorganisations such as financial counselling, specialist domestic violenceservice etc
· ourprofessional advisors (ie lawyers, accountants, third-party lenders, insurersor other professional consultants etc);
· AustralianSecurities Investments Commissions, or to other government agencies, courts;
· to our financial institutions, our investors or joint venture partners; or
· as required by law.
Disclosure of your personal information to external parties will be limited, where possible, and only to where that third-party requires the disclosed information to perform their services to us, where required by law, or with your consent.
We take reasonable steps to ensure that any third party we share personal information with protects that information and destroys or de-identifies it when it is no longer needed.
Storey does not sell personal information to third parties.
Access and correction
You are in control of any personal information you provide to us. If at any time, you would like to correct the personal information we have about you or if you would like to change your preferences for contacts from us or on behalf of our business partners, you can let us know by contacting us at the email or postal address listed below. Your personal information may be stored in different locations depending upon the reason for which you originally submitted the information. The more information you can provide us about when you originally submitted your personal information, the quickerStorey will be able to retrieve your personal information. In order to review any personal information, we have about you or to ask us to delete that information or to stop further use of the information, please submit this information request form.
